1. Login to your ASCB account. If you do not have an account, you will need to create one before applying.
2. On the Session Proposals landing page, click the “+ Add New” button under the “Education, Professional Development, Diversity and Inclusion (EPDI)” section.
3. You must:
   1. Identify your affiliation to the session, i.e. name of organization/institution, ASCB committee name, EMBO, etc.
   2. Select “Sponsored Session” from “Session Room Activity” drop-down list.
   3. Select a category that best describes your session, i.e. careers, professional development, diversity and inclusion, scientific, education/teaching, publishing, etc.
   4. Identify a Title and Description for the session.
   5. Provide a desired session length. We recommend 45-60 minute sessions. ASCB will adjust, if needed, the session length based on appropriateness of session and to ensure it fits within the program schedule.
   6. Provide an approximate anticipated attendance for the session.
   7. Provide names of confirmed speakers participating in the session. These must be confirmed speakers. You will have an opportunity to add speakers at a later date if they are not confirmed at time of session proposal submission.
   8. Provide names, emails, institutions, and career levels for all co-organizers.
   9. Read and agree to the following affirmations:
      • I understand that all programming will be scheduled by ASCB and day/time change requests will not be guaranteed.
      • I have read and agree to the terms in the ASCB Financial and Organizational Guidelines.
      • I understand all organizers and speakers must pay for meeting registration and their own travel expenses.
      • I confirm that all organizers understand ASCB’s speaker guidelines for ensuring diverse speakers in all sessions. Diversity of speakers includes: institution, career level, geographic location, gender, and race/ethnicity.

Session Funding

Update this language.

1. Communicate with speakers about their role and the meeting policies. Ensure speakers are registered and understand they are responsible for registering for the meeting and paying the registration fee.
2. Register for Cell Bio 2023. All speakers and organizers must be paid registrants for Cell Bio 2023. Admission will not be granted if individuals are not registered.
3. Prepare and submit your final session description, outcomes, and confirmed speakers with affiliations by June 30, 2023. Late submissions are not guaranteed to make it into the meeting program or mobile app.
4. Update all final session details between September 1 and September 30. 

Meeting Policies

• All session attendees, including session organizers and invited speakers, must be paid registrants of Cell Bio 2023. Access will not be granted to individuals without a registration.
• Session organizer/speaker expenses are not provided by ASCB or EMBO.
  • Session organizers may use support to cover these expenses.

Availability Requirements

Session organizers must be available on the day of the scheduled session.

Miscellaneous

You and your accepted speakers must agree to the following terms and conditions:

• Not to defame or slander/libel anyone
• Not to use copyright/trademark materials without permission
• Not to speak on anything other than what was agreed to

ASCB & EMBO Responsibilities

ASCB & EMBO will provide a room, A/V equipment (as ordered), and marketing of the session on the Cell Bio 2023 website, online program, and mobile app.
